A brief history.

Fingerprint biometric is relatively new, but Sentri Systems started its life more than 17 years ago. Prior to this, time & attendance software packages were imported from the USA, Germany, or Japan. The problem of trying to get minor changes made to the software was so frustrating that we made a commitment to either get out of this industry altogether, or develop our own software package (in Delphi) which enabled us to make changes according to our needs and desires when they were required.

With over 30 years of “hands on” experience in Time & Attendance industry, we created a software package, which is immensely powerful but easy for the operator to “drive”, in fact if you can point a mouse you can navigate through our package with ease. Our largest site has 4 500 employees and the second largest site has 2 500 all working 24 hours and 365 days a year. There are a few more sites have over a 1000 employees as well. Our smallest site has only 3 employees, using a fingerprint reader.

Sites using our SQL Multi User package either have one SQL database and offices around the county log into, or each city has its own database and the Financial / HR Director can then log into that companies database from HQ, and see what the operational costs are for that company. HR officers can also log into the remotes companies database and import the times worked into their payroll system. We have a new payroll interface for VIP - GT that calculates meal tickets and Taxi fares as well as all the other paraphernalia that goes from TurboTime to other payroll company's programs.

We have recently installed a system for a firm of Attorneys with around 1000 employees, they want staff to be able to see their time worked by clicking on an icon on their PC. Why wait for a report to be delivered, with a simple click on an icon they can see their Flexi Time hours worked for the month and any short time / excess time is clearly displayed. Any carry over hours / shortfall from the previous month is also calculated and clearly indicated.

Our latest update includes reports that are automatically generated and emailed to staff as per the scheduler. i.e. Email Daily Absenteeism to all the Department heads. Send a Weekly Clocked Time Report to all the supervisors. Send a Detailed Summery Overtime Report to the production Director and Financial Director. Send an Excessive Lost Time Report to the Human Resources Manager every Monday, etc.

The Old Way - "Mechanical Clock Card Machine"

Old faithful, we still import and sell these mechanical clock card machines, so don’t knock them, as there is still a place for these time clocks out there. The down side is the manual calculation and Names must still be written or labelled onto the cards, then last weeks cards are removed and manually calculated! - Painful - This is then manually punched onto the payroll system.

The New Way - Fingerprint

In the past two years, we have seen a big swing towards biometrics. Hands scanners, Fingerprints, Facial recognition and all this Hi Tech is being used currently by us. As new breakthroughs are made, like none contact NC-HHR “Human Heat Recognition” and the price of such a system becomes viable, we will be right in there offering you a solution like that.

Fingerprint readers are becoming more “User Friendly” for the non-office environment and more reliable for use in the factory environment. We are now able to offer you “Fingerprint Stand-Alone unit” that uses a “Memory Stick” to transfer the data from the fingerprint clock to you PC. NO CABLES. We also offer USB and TCP-IP fingerprint readers as well.

Why go the Biometric route? The main reason is to reduce Overtime, also to physically stop one employee clocking for the other (Buddy clocking), to eliminate the use of cards and re issue of lost cards. Fingerprint readers have come down in price dramatically over the past two years, so it is now a viable solution for companies with lots of overtime in peak seasons and sites where the supervisor does not want to play Mr. Policeman, as he has to travel, work and live with his co-workers. Besides, this is not “theft” it is a “Company Perk” and the boss can afford it anyway.

Fingerprint reader no longer fall under the heading of a “wise investment” but rather a “Must have” for companies that employ 50 or more staff, or if less than 50 staff but your overtime is high then this is the time to get a quote from us.

Having said that, there are still 1000's of companies that employ less than 25 employees and for various reasons, they do not want a sophisticated Hi-Tech Biometric system. This is where our economical range of COMPUCLOCK time recording devices come into play. They are easy to use, reliable and provide 100% accuracy, the gathering of time and attendance information is processed quickly and efficiently using the same powerful TurboTime software package.

Numerous reports are generated for management so those different types of absenteeism's are identified, addressed, and then minimized. Any calculation errors are addressed before the pay run and not afterwards.

We have written some pretty powerful interfaces that include Meal tickets, Taxi Trips and things you would not normally associate with Time & Attendance but some specifications supplied by so called “experts” leave much to be desired.

Why use SQL TurboTime?

Single user Versus Multi User?

Most companies allow the supervisor to make changes such as authorise late overtime, early overtime, worked through lunch, etc, because they know what is happening at the workplace. So instead of writing memos and sending that to the HR department for approval, they can now approve the over time themselves from a shared PC at the workplace. Supervisors can also check their staff for tardiness, like Arrive Late, Left Early and view any of the various absenteeism such as “Off on a Friday, Injured on Duty, Sick note handed in, A.W.O.L.” etc. They are able to produce various reports at their own pace such as Exceptions, clocked times, overtime, arrived late, etc. This removes the frustration of having to walk to HR, interrupt someone to ask them for a report. This also allows HR to get on with their work with out constant interruptions.

Network system.

The SQL database can be installed on one or more file servers. If you have permission, you can log out of one DB and log into another. I.e. HR wants to find out how many days Sick leave John has taken at their Durban branch. They log out of the JHB Db and log into DBN. They can only view, not add or delete employees according to a user name & password issued to HR dept.

The “SQL Multi User Manager” program allows any number of “Users” to log into the system simultaneously. The system SQL - TurboTime “Administrator” can decide and allocate “User Rights” to individual users before they log in to the Turbo Time. They will need to enter their user name and password. The audit trail module records all changes made by each “User”.

Each supervisor can only view and edit those employees reporting to them and depending on that “User” level, they can be allocated one or more functions to may allow them to authorise overtime and print reports, etc, but they cannot Add, Edit, Delete, employees, etc. Each user is totally user definable as to what they can and cannot do.

The Multi User version allows you to add as many “User” supervisors as you require on your PC network and each supervisor is allocated a name, password and a set of "User rights" rules.

To “Log-in” they enter their user name and password and then have access to all the pre defined T&A software features allocated to them.

A list of employees is allocated to each “User” and only those employees on that list can be viewed. Certain “Users” can only print reports, whilst others can approve overtime and nothing else. You can allow another “User” to Add, Edit, Change clocked times, and others can authorise Early overtime, Late Overtime, pay worked through Lunch, override Grace times, Insert missing In / Out clockings, Authorise "Sick Notes" and other Absentee codes such as On Training, Injured on duty, maternity leave, personal time off – no pay, etc.

Should you decide off using or already have the Paradox version you can always upgrade to the SQL version at a later stage. You will need to send a technician to convert the existing data to the SQL so you do not lose any valuable information.

· Comes with a built in Sick Note module, 30 day set of rules.

· Has Built-in Family leave module. 3 days a year family leave.

· Place to show that the employee is terminated & the Date of termination.

· Any Unpaid Overtime is marked with a “?” in the edit clocking screen.

· Unlimited Shifts, Unlimited work cycles. Cost Centres, Departments, etc, etc, etc.

· *NEW* There is a built in “Note Pad” in the Master file and Edit clocking screen that allows you to insert relevant information pertaining to that employee. Can copy and paste.

Email reports?

Reports – There are over 50 different reports that come as standard. – Need to email, in PDF format?

No problem, instead of a click on Print, click on Email.

How is that for easy!

We have a module that AUTOMATICALLY emails out reports without human intervention. i.e. Every night / Monday, at 2AM, email the Hours worked to each employee on the list. Or email the Overtime report every Monday @ 9.00 am to the FD at HQ and to the production Director and the Financial officer.

This helps you keep track of your Overtime costs before they get out of hand. (This should get your thinking :-)

We are currently writing a report that will calculate what the cost of over time will be in the future (next year!) Based on past history!

i.e. What will my projected overtime be for next month based on the last 3 months Overtime. Allow for an additional [ 5%] variance, because we have two public holidays next month that we never had in the last 3 months. How’s that for kick ass!
